Luckily, I sorted most of these out by the time I started my freelance business. I use budgeting software (You Need a Budget, to be specific) to budget for my business just like I do for my personal finances, and it's been a lifesaver in more ways than one. Take, for instance, when I got hit with a surprise IRS bill for $10,034 after <a href="https://www.businessinsider.com/how-to-file-taxes-tax-return-instructions">doing my tax return this year</a>. That sucks. But, I already had far more than that saved in my tax savings account, so I'll be able to pay it with no problem and still have money left over to top off my other retirement accounts and pay off the last bit of my student loans. All too often I hear other freelancers lament not being able to pay surprise tax bills, and not having enough retirement savings. It doesn't have to be that way. All you need is a simple system, a budgeting program, and the discipline to spend a couple of minutes sorting out your income as you get paid. Trust me, if I - the most scatterbrained of people - can do it, so can you. Here's what I do. <h2>Tax savings: Set aside 30% in a high-interest savings account</h2>Unfortunately, like all things in life, the government gets its due first. If you had an employer, they'd take a cut of your paycheck before you get paid. Now, you're your own employer, so let's make sure you do the same thing. I log into my high-yield business bank account at least every few days. Develop a schedule for yourself; once a day, once a week, etc … Mark it on the calendar until it becomes a habit, or use an app like Todoist (also handy for planning your day as a business owner). If I see that I've gotten any new client payments, I tally them all up to get the total amount. Then, I multiply it by 0.30 to shave off 30%. This amount gets transferred into a <a href="https://www.businessinsider.com/high-yield-savings-accounts-help-spend-less-save-more-2019-8">separate savings account</a> that I've set up just for tax savings. When I have to pay my quarterly taxes, I transfer the required amount back into my checking account so it's ready to go. By the end of the year, I've usually saved up quite a surplus beyond what I've paid out in taxes. I do this deliberately because I never want to get caught with a tax bill I can't pay. Thus, I save a bigger percentage than I think I'll owe in taxes. This is where having an accountant estimate a good savings rate can really come in handy. <h2>Retirement savings: Set aside 10% in a retirement account</h2>As fun as freelancing can be, I don't want to do it forever. Someday I'd like to retire. That's why I also set aside 10% of each paycheck for retirement. I note the amount just like with my tax savings, and once a month, I deposit the monthly total into my Vanguard SEP IRA. You can deposit an even larger slice if you want, but since I have an odd business structure as an LLC partnership with my husband, I'm limited to that amount with my SEP IRA. You can also opt for <a href="https://www.businessinsider.com/sep-ira-solo-401k-save-for-retirement-self-employed">another self-employed retirement account</a>, like a SIMPLE IRA or a Solo 401(k). <h2>My paycheck: Set aside 60%</h2>What's left over in my checking account is for me. Now that I know I have my present tax obligations and my future needs taken care of, I'm comfortable paying out the rest to myself. In truth, I get slightly less than 60%, because I also use this chunk of money for my monthly business expenses, including transcription fees, my Skype subscription, and accounting fees. I also save up for other expenses, like attending conferences or annual subscriptions. However, as a freelance writer, my overhead isn't much. After I budget out for these items each month, the remainder gets lumped into a "Distributions to ME!" category, and at the end of the month, I deposit it into my and my husband's personal account as my paycheck. <h2>I'll revise my percentages for next year</h2>For most of my five-year freelance writing career, this system has worked pretty well. I've always had a surplus in my tax savings account by the end of the year, and so I treat it as a bonus. This year was a little different. Since my husband recently graduated and moved into the working world, <a href="https://www.businessinsider.com/what-is-my-filing-status-for-taxes">our combined income</a> was higher and we forgot to adjust accordingly. Thus, I was faced with every freelancer's worst nightmare: a surprise tax bill of $10,034. No sweat, though. Thanks to my system and over-saving for my taxes, I had more than enough in my tax savings account to pay the rogue tax bill, and then some. I still got to pay myself my "bonus," and I didn't need to worry about going into debt again. At the same time, I also faced another problem: I over-contributed to my SEP IRA. It also wasn't a big deal since I only had to withdraw the extra money plus the earnings, but it was a hassle and a few extra hours of work to figure out. However, I'd still prefer not to have that high tax bill next year, and not have to worry about fixing an over-contribution to my SEP IRA. So, I'm adjusting how I divvy up my paycheck. Rather than a 10/30/60, retirement/taxes/distributions system, I'm going to save more for taxes and less for retirement. I'll split things up 7/33/60. That way, if I haven't contributed the maximum to my SEP IRA by the end of next year, I can more easily top it off than take it out. It's still a work in progress, but it's the best system I've found to <a href="https://www.businessinsider.com/how-use-wealthfront-to-track-wealth-and-plan-for-uture">ease my financial anxiety</a> and make sure I have all my bases covered. Your head is not designed for holding ideas. It's designed for having ideas," says Allen. "If you want to maximize productivity, you have to make sure you're not trying to use your head as your office. Use an 'in-basket.'</h2>Allen uses the term "in-basket" to refer to the place where you can throw all of the things you haven't yet decided what to do about - notes, mail, flashlights that have dead batteries, etc. - so that you don't have to think about them in the moment."You should have one at home and at work," says Allen. "It needs to be a very specific, clean, clear bucket to throw that stuff into."Find a spare storage basket or container and repurpose it as an in-basket, or pick a bin up at <a href="http://www.ikea.com/us/en/catalog/categories/departments/living_room/16201/">Ikea</a> or <a href="http://www.target.com/c/baskets-bins-containers-storage-organization-home/-/N-5xto7">Target</a> for under $15. <h2 class="p1">3. Jeff Dunn/Business InsiderWunderlist is on death row, but Microsoft To-Do isn't ready to replace it.The light is fading for Wunderlist.The popular to-do list app <a href="http://www.businessinsider.com/wunderlist-microsoft-2015-6">was bought by Microsoft</a> in June 2015, sparking concerns that it would inevitably be "<a href="http://www.businessinsider.com/microsoft-plans-shut-down-to-do-list-app-wunderlist-move-users-2017-4">sunsetted</a>" by its new corporate parent the way several promising apps have been before it.In April, Microsoft started the process of making those concerns a reality. It <a href="http://www.businessinsider.com/microsoft-plans-shut-down-to-do-list-app-wunderlist-move-users-2017-4">announced a direct replacement</a> for Wunderlist, called Microsoft To-Do, and said it plans to "retire" the older app once To-Do is able to sufficiently subsume it. New features for Wunderlist have been few and far between as of late.There's some controversy here. Wunderlist is an <a href="https://www.wunderlist.com/blog/thanks-for-making-wunderlist-app-of-the-year-2013/">award-winning app</a> with a not-insignificant audience and <a href="https://itunes.apple.com/us/app/wunderlist-to-do-list-tasks/id410628904?mt=12">extremely positive</a> user <a href="https://play.google.com/store/apps/details?id=com.wunderkinder.wunderlistandroid&amp;hl=en">ratings across platforms</a>. Although To-Do is being built by the same team behind Wunderlist, the original is on its way out.And as it stands now, Microsoft's successor is a more limited experience than the app it's trying to replace.Jeff Dunn/Business InsiderWunderlist is deceptively full of useful features, but Microsoft says To-Do will do better to avoid ever feeling overwhelming.To be clear, Microsoft readily admits that To-Do is still in a preview stage, and Wunderlist remains fully available. No Wunderlist user, myself included, has to make the switch right now. But Microsoft is trending in that direction, and given that To-Do is something you can download today, the extent to which it trails Wunderlist is worth noting.The thing to know about Wunderlist is that it's not just a to-do list app. You can use it to keep track of what you need to buy at the grocery store, sure, and it's perfectly pleasant for that. But it's featured enough to also be a powerful productivity tool - I've personally used it to lay out articles, bounce ideas off colleagues, and generally behave like a streamlined note-taking app a la Evernote. The way it's able to organize simple and complex tasks all at once has made it a fixture on many home screens.To-Do, as it is now, does not have that level of flexibility. It is fast, it looks clean, and you can use it to jot things down, then check off those things as you do them. The margins between these sort of to-do apps aren't huge, so if that's all you need, by all means give To-Do a try.Jeff Dunn/Business InsiderIf nothing else, Microsoft To-Do does look very nice.Beyond the basics, though, Microsoft To-Do is a bit too barebones to be a full Wunderlist replacement today. Here's a few of the main issues, in no particular order:<ul><li>There are no subtasks. When you create a to-do item in Wunderlist, you have the ability to create sub-items within it. So if you have an item called "Grocery list," you can write out "Cheese," "Milk," "Bread," and whatever else right there. Each of those subtasks have little checkboxes next to them, so when you complete one, you just strike it off. It all makes sense. When you want to add further detail to an item in To-Do, however, you only have a blank space to take notes. You can create your own de facto list of subtasks in there, but that's a slower and sloppier process. Wunderlist manages to do more while keeping a blank note-taking space of its own.</li><li>You can't attach files to a to-do item. Continuing along those lines, within every to-do item in Wunderlist is an option to add files from your computer, phone, Dropbox, or what have you. If I'm laying out an article and I see a good photo I'd like to use, I can pop it into the bottom of the item. Again, To-Do has no such option.</li><li>It doesn't collaborate with many outside services. Wunderlist is popular enough that various third-party apps - Dropbox, Slack, Google Calendar, Evernote, etc. - integrate with it directly. To-Do works with Microsoft Outlook, but that's it for now.</li><li>You can't share a to-do list with others. Not everyone needs this, but Wunderlist has handy options for collaborating on a to-do list with coworkers or family members. You can assign certain tasks to certain people, share comments, and have others check off items when they're done. This is key to making Wunderlist work in the office. To-Do is an entirely insular experience thus far. </li><li>There are no recurring due dates. Both Wunderlist and To-Do allow you to set due dates for your tasks, but only with the former can you set repeat due dates over specific intervals. Say I want to be reminded to "Pay the rent" at the end of every month - with Wunderlist, I can just set that note to "repeat every month;" with To-Do, I'd have to write out that task and manually set the due date each time.</li><li>It's harder to flag particularly important items. It's not hard for a to-do list to become unwieldy, so having the ability to flag certain items within that list as more significant than others is highly useful. With Wunderlist, you can "star" such items to make them immediately stand out without tossing them from your list entirely. With To-Do, there's no flagging ability, so to mark something as important you have to put it in a separate list.</li><li>There's no Mac app. To-Do is available on iOS, Android, Windows 10, and the web, but, unlike Wunderlist, has no dedicated app for Apple's PCs. This is a small gripe, but a step back all the same.</li></ul>There are other little annoyances beyond that.To be fair, To-Do has some good ideas behind it. The main "My Day" tab encourages you to pick a few things from your lists to get done every day, and an accompanying "Intelligent Suggestions" feature scrapes those lists in an attempt to find which things you should focus on first. This can be hit or miss, though: I keep a list of reviews I've written, for instance, but that's not something I'd want to "check off" as if it was a set of items on a grocery list.Jeff Dunn/Business InsiderMicrosoft To-Do's "intelligent suggestions" feature wants to think about what you need to get done today on your behalf, but the results can be hit or miss.In that way, To-Do feels a bit narrower in scope than Wunderlist. This isn't totally unintentional, either: Part of the point of To-Do is to be more deliberate about "taking the cognitive load" off completing to-dos, according to Microsoft marketing manager Simon Chan. The company plans to add things like subtasks and more sharing options in the future, Chan said, but it's not trying to make To-Do a one-to-one Wunderlist replacement.Instead, it wants To-Do to be smart enough to eliminate the need for persistent notifications and reminders in the first place. That requires a good amount of faith in Microsoft's machine-learning efforts, however, and it's not like Wunderlist is incredibly complex in the first place. Again, for the simpler stuff, To-Do is fast and functional. Along those lines, Chan said To-Do users have so far completed a higher percentage of their lists than Wunderlist users typically do. Given that To-Do is now packaged in Office 365, and thus is open to more business users than Wunderlist ever was, the emphasis on staying out of people's way makes some sense. But that doesn't make the transition for regular Wunderlist users any easier today. There's still plenty of time for To-Do to hit the highs Microsoft wants - there's no hard deadline for when the app will come out of its preview mode, Chan said, and the company plans to give Wunderlist users "plenty of time" to make the switch even when that day comes. For now, though, those who've come to rely on Wunderlist will want to hang on to their old standby while they still can. Worse comes to worst, there are always more featured alternatives like <a href="https://en.todoist.com/" target="_blank" rel="noopener noreferrer">Todoist</a>.
